Automation is the most important step in saving time - Not AI prompts

ChatGPT gets all the headlines. Meanwhile, the brokers who've actually clawed back hours in their week are running quiet background workflows that handle the repetitive, invisible tasks before they ever open a file. No prompting. No copy-paste. No manually forwarding the same email for the fifteenth time. The tool I use to build those workflows is called n8n, and this post is your on-ramp. IT IS THE PERFECT PLACE TO START becoming tech/AI literate. 

You don't need a developer. You don't need a SaaS subscription for every new problem. You need about 30 minutes and a willingness to break something so you can fix it. 

What n8n actually is (and when you should use others like Zapier)

Think of n8n as a very simple digital administrative assistant that follows instructions, but can't think too well on its own. It does what you ask, exactly.

You tell it things like:

  • When someone fills out this form...
  • Save their information to my spreadsheet.
  • Send them a welcome email.
  • Create a task for me to follow up tomorrow.

Once it's set up, it does those jobs automatically every time. No copying, pasting, or remembering.

Tools like Zapier and Make do similar things and are often a little easier to start with. But n8n gives you much more flexibility as your automations become more advanced. It can handle longer, smarter workflows without forcing you to switch to a different platform later.

The important thing is this: you don't need AI to get value from it.

Simply connecting the software you already use and automating repetitive tasks will solve most of the bottlenecks in your business. AI is just another tool you can add later when you're ready.

For most of you reading this, the non-AI version (just connecting apps and scheduling tasks) will handle 90% of what's slowing you down. The AI stuff is there when you want it, but start without it.

Video 1: An overview of n8n and how to navigate it

As promised, this is my overview of n8n. For some of you, this will be enough: straightforward workflows, no AI required, and you'll solve most of the repetitive stuff in your day. I wanted to do this in 5-minute chunks, but I couldn't make it work for this first one. I needed to give you an overview of the tool before showing an example, and cutting corners there would've made the example confusing. So it's a bit longer. Everything after this will be tighter.

Video 2: Building a real workflow — a receipt categorizer

Now that you have the lay of the land, here's a workflow that actually does something. I'm using a receipt categorizer I built early on for myself; it reads incoming receipt emails, pulls out the relevant data, and logs everything to my Drive automatically. There's a lot of knowledge compressed into about 5 minutes, and I'm not sorry about that. I'd rather you spend your time building than watching. Watch it once, then go touch the tool.

Now stop watching and build something

You've seen the tool. You've seen a workflow. The only thing left is to build one yourself, break it, fix it, and build something slightly better. That loop (not watching) is where the skill comes from.

Here are two concrete starting points:

EASY — Daily Reminder
Create a scheduled trigger (e.g., every weekday at 2pm) that sends you an email reminding you to step away from your desk. Sounds trivial. It's the perfect first workflow because the logic is dead simple, the stakes are zero, and you'll touch every core concept: trigger, action, credentials, testing.

MEDIUM — Task Manager
Build an n8n Form with a task description field. When submitted, it adds a row to a Google Sheet — your running task list. That's the base build.


Medium Bonus: Add a scheduled trigger that emails you the full task list every morning.


Hard Double Bonus: Make it so you can mark a task complete directly from that email — one click, no opening the spreadsheet.

Pick one. Open n8n. Try to build it without looking anything up first. When you get stuck (and you will) search, ask, iterate. That's the only way this becomes a skill you actually own.

The brokers who build one workflow today will build ten by next month. The ones who bookmarked this and moved on won't.
